SICOT EDGE — Expression of Interest & Programme Submission Form

Use this form to submit everything K.I.T. Group and the SICOT Education Academy (EA) need to run the Eligibility & Strategic Review and the Scientific Evaluation in one pass — per the SICOT EDGE Guidelines and SOP. Fields marked Stage 1 feed the administrative/eligibility review; fields marked Stage 2 feed the scientific evaluation by the EA / BOSS / Subspecialty Chairs.

1 Host & Eligibility Stage 1 — K.I.T. Group

Guidelines §1.1 — Only a SICOT National Representative (NR), BOSS Chair, or SICOT Board Director may apply to host a SICOT EDGE.

Per Guidelines §1.1, applications are normally expected from an NR, BOSS Chair, or Board Director. If none of these fit, choose "Other" and describe your capacity below — eligibility will be confirmed by K.I.T. Group.

4 Local Organising Committee (LOC) Stage 1

Guidelines §1.1 — the Host must establish a Local Scientific Committee responsible for scientific & organisational aspects. The LOC must be genuinely local to the host country/city — international committee members, SICOT officers or subspecialty chairs based elsewhere should be listed under Section 6 (Faculty) instead, not counted as LOC. All columns are required for every member listed.

5 Scientific Programme Outline Stage 2 — Education Academy

Requested by the Education Academy. We know a fully detailed schedule is too early at EOI stage — instead, list out your sessions day by day: for each one, give us the format and a headline theme, and whether it will be built around invited speakers or abstract-based selection. That's enough for the Education Academy to assess whether the meeting's scale and content are justified.

Target schedule (final version). Use this as the structure to align with (or explain deviations from) below. SICOT EDGE 2-Day Conference Schedule target: Day 1 and Day 2 across Room A (300 pax), Room B (180 pax) and Room C (80 pax, workshops only), with keynotes, symposia, industry symposia, workshops, coffee breaks and gala dinner.

Controller. SICOT aisbl (Société Internationale de Chirurgie Orthopédique et de Traumatologie), Da Vincilaan 1, 1930 Zaventem, Belgium, is the data controller for this application, under SICOT's Privacy Policy. K.I.T. Group GmbH (Berlin, Germany) operates this form and administers the SICOT EDGE Regional Meeting programme as a service provider acting on SICOT's behalf — SICOT's Privacy Policy names K.I.T. Group among the recipients/sub-contractors data may be shared with.

What we collect. Applicant contact details; names, affiliations and locations of Local Organising Committee members, faculty/speakers and partner-society contacts you list; the content of any documents you upload (e.g. chapter approval, letters of support, programme decks, MOU letters); and the other programme, financial and logistics information entered in this form.

Why we collect it. To run the staged eligibility, scientific and executive review of your SICOT EDGE Expression of Interest, per the SICOT EDGE Guidelines and SOP — administrative/eligibility review by K.I.T. Group, scientific evaluation by the SICOT Education Academy / BOSS / Subspecialty Chairs, and final decision by the SICOT Executive Committee.

Legal basis. Processing is necessary to take steps, at your request, towards a possible agreement to host a SICOT EDGE meeting (Art. 6(1)(b) GDPR), and, for third-party names you provide (e.g. committee members, speakers), SICOT's legitimate interest in administering the programme (Art. 6(1)(f) GDPR). By submitting this form you confirm you are authorised to share the third-party details included and that you will inform those individuals of this processing where appropriate.

Who sees it. Authorised K.I.T. Group staff (acting as SICOT's service provider for this programme) and members of the SICOT Executive Committee and Education Academy involved in reviewing this application. Submissions (including uploaded documents and the generated PDF/Excel copies of your answers) are stored in a private Google Firebase project (Cloud Storage and Firestore, EU region) that is accessible only to the K.I.T. Group project owner through the Firebase Console; no public link or shared folder is created, and no other organisation or third-party service provider has access.

Retention. Per SICOT's Privacy Policy, personal data is not retained for longer than necessary. For this programme specifically: submissions are kept for the duration of the review process; if declined, for a limited period afterwards for audit purposes; if the meeting proceeds, for the duration of the collaboration plus any statutory retention period.

Your rights. You may request access to, correction of, or deletion of your data, restrict or object to its processing, and withdraw your consent at any time. You may also lodge a complaint with the Belgian Data Protection Authority (SICOT aisbl's supervisory authority) or your own local data protection authority. SICOT's contact details and full rights procedure are set out in its Privacy Policy.
